💬 How to Push Back Without Sounding Defensive
WELCOME
Hi everyone! It’s Kaley.
⚡In This Week’s Issue:
How to push back without sounding defensive
Set a clear boundary and protect your capacity
Are you being held back by perfectionism?
A QUICK TIP TO STAY CALM UNDER PRESSURE
Say no without over-explaining: “That doesn’t work for me right now.”
🧠 Why it works: Clarity reduces stress and protects your capacity.
👉 Use it: When you're stretched too thin.
ONE CLEAR THOUGHT: A single question to challenge your thinking.
💬 Take 5 minutes to reflect. No overthinking! Just write…
What am I avoiding because I think I should already have it figured out?
📝 How this helps: Spotlights where perfectionism is blocking your progress.
🔍 DEEP DIVE
💬 How to Push Back Without Sounding Defensive
A colleague questions your decision.
A senior peer challenges your approach.
You feel your body tense — and the words rush out faster than you’d like.
Instead of sounding clear and confident, you know you’re coming across as defensive.
Why It Happens
Pushback triggers your brain’s threat system and your cortisol spikes.
Your nervous system scans for risk — disapproval, conflict, loss of credibility.
At the same time, activity in the prefrontal cortex (the part of the brain that manages clear thinking and language) dips.
That’s why you rush, pile on detail, or over-explain.
It isn’t that you don’t know your stuff. It’s your system trying to keep you safe by pushing you to answer fast.
But speed can sound defensive.
💡 Insight: The key to pushing back isn’t having the perfect argument. It’s staying calm, clear and anchored in authority.
4 Scripts to Pushback Calmly
1. Acknowledge, Then Add
Show you’ve heard the other person before making your point.
“I see where you’re coming from. Here’s another angle…”
“That’s one perspective. I’d like to add…”
2. State Your Position Clearly
Don’t soften what you say. Use steady, direct language.
“I have a different view. Here’s why…”
“I recommend we take this approach because…”
Link your pushback to what matters most for the group.
“To keep us aligned with X, I think we should…”
“If our goal is Y, then this option makes the most sense.”
4. Slow the Pace
When you speak quickly it can often sound defensive.
Pause, breathe and lower your tone.
💡 Tip: A steady voice signals authority more strongly than extra words.
This Week’s Challenge
In your next meeting, notice one moment you feel yourself tense.
Pause.
Use one calm pushback script instead of explaining at length.
Final Thought
Pushback doesn’t have to sound defensive.
When you slow down and speak from authority, your words land with impact.
You don’t need to add more detail.
You need calm, clear language that shows confidence.
